What does a day-of coordinator or planner actually do?
A day-of coordinator is the time-keeper and point of contact for the day of your event. All vendors and questions go through the coordinating team so that those questions do not have to be answered by you on your special day . Think of us as your personal assistants for the day! We handle decor set up, decor break down, getting you down the aisle, and pretty much everything in between.
How much access do you have with your coordinator before an event?
You will have unlimited check-ins with your coordinator once the agreement begins. We usually aim for once per month depending on what your planning needs are. The 3 months before your event are “go time”, and that is when you and your coordinator will be working even more closely as the event date approaches.
We’re getting married out of state, or are planning from a different state. Can you still work with us?
Yes, absolutely! Oasis’s services can be used in any state, and even for destination events if that’s what your heart desires! We will make sure that your event is covered, even if you live out of state or are planning an event in a different state. Travel fees will apply to the quote that you are given after your consultation.
What does the booking process look like?
It all begins when you submit your inquiry form! We will gather that information and get in touch to schedule a consultation where we can discuss details about your event, your needs and expectations, and your budget. From there a quote gets put together, and we finalize the agreement for your special day. A $500 retainer is required to lock in your date with the Oasis Team once a contract is signed.
What types of clients has Oasis worked with?
Weddings are our specialty, so we have mostly worked alongside brides and grooms! We’re always open to other types of events if you are looking for coordination and planning for those as well.
How early in the planning process should we book a wedding coordinator or planner?
The truth? As soon as possible! Planning and coordination services are one of the best things you can do for yourself earlier in the process of planning your event to eliminate stress and get industry questions answered sooner in your booking process with other vendors. We’re able to walk you through the whole planning process, not just the event day! The Oasis Team is currently booking 9-12+ months in advance, so the sooner you submit your inquiry and schedule your consultation, the better!
Do we still need to hire a wedding coordinator if our venue has a coordinator included?
Venue coordinators and wedding coordinators are two VERY different roles that play into a successful event or wedding day! A venue coordinator is responsible for all things property (think structural, electrical, and functionality of the space). Their job is to ensure that the venue is in peak shape for your event, thus their focus will always be there first! A wedding coordinator is different because our focus is you and your family on AND off the property on the wedding day. Similarly, a wedding coordinator will walk you through the planning process before the wedding day arrives. We LOVE working with venue coordinators because even though our roles are different, alongside each other we are able to be a vendor team that meets and exceeds all expectations for the event! So the short answer is yes, you should still hire a wedding coordinator!
What should I have prepared for my consultation?
You’ll want to have anything and everything ready to talk about during your consultation! Let us know how far you’ve gotten in the planning, how much there is left to do, your areas of greatest need, etc. The more information you give your coordinator, the better we can help you! We want you to bounce your ideas off of us so that we can help narrow down your options and choose the best one for you.
Is a day-of coordinator or event planner really worth it?
Absolutely! Your coordination and planning team is there to make sure that everything runs smoothly for your event so you can be mentally present and enjoy the party you’ve been waiting to throw! We would rather you remember the dancing at your wedding instead of the caterer being late or items being left behind!
Will you work with vendors that we choose or do you only work with your recommended vendors?
We understand that sometimes you find your other vendors before you find us! We are always willing to work with the vendors that you have hired and bring the team together for a smooth event! If you are in need of a specific vendor, we have a list of preferred vendors that we have worked with before and can attest to the amazing quality of their work/client experience!
